The executive committee of a Toastmasters club consists of all eight club officers.  The club president serves as the executive committee chair. Working as a team, the executive committee must manage all business and administrative affairs of the club. The immediate past club president provides advice and guidance as requested by the club president.The duties of the Executive members are listed below

SERGEANT AT ARMS:

  • to reserve the meeting space with the proper authorities
  • make sure that all supplies and materials are properly distributed or displayed at meetings,
  • greet guests and members,
  • maintain club equipment in working order
  • call the meeting to order at the scheduled time
  • help the president make sure the meeting begins on time

TREASURER:

  • keep financial records and prepare the club budget
  • announce when its time for members to pay dues and explain the dues structure
  • to collect dues from the members,
  • send the dues and the membership renewal reports to Toastmasters International,
  • and pay the club’s expenses.

SECRETARY:

  • to keep an accurate record of the members,
  •  
  • submit the officer list to Toastmasters International after the election,
  • and keep the club charter, constitution, bylaws, and minutes.

VICE PRESIDENT PUBLIC RELATIONS:

  • to promote the club to the local media,
  • spread the word about membership programs,
  • regularly recognize member achievements with methods such as announcements, newsletters and articles that you submit for the news letter
  • represent your club at Area Council Meetings

VICE PRESIDENT MEMBERSHIP:

  • to conduct ongoing membership-building programs,
  • explain the educational program to prospective members and ask them to join,
  • personally, greet guests and provide them with guest packets if any, including a membership application,
  • follow up on new members and absent members
  • represent your club Area Council Meetings

VICE PRESIDENT EDUCATION:

  • gain commitment from members to set educational goals for themselves,
  • work with club members to keep meetings fun and well-run,
  • to plan successful meetings to help members achieve their educational goals,
  •  orient new members to the Toastmasters program as soon as they join,
  • and monitor members’ progress.

PRESIDENT:

  • preside at all club meetings and at all regular and special meetings of the Executive Committee,
  • It is your challenge to see that this club adds new members and meets the needs of its current members to achieve their communication and leadership goals,
  • Establish a club climate that is supportive, stimulating and rewarding to its members.
